Your privacy is important to Trak.
Privacy of information has always been a priority for the Trak Search group of companies. The National Privacy Principles established by the Privacy Act 1988 (introduced in December 2001) aligns with the integrity of our policy and practice.
This policy outlines how we manage the personal and sensitive information we collect and hold for people with whom we have contact, whether the contact is through discussion, correspondence or when visiting our website.
We are committed to being transparent in our use of personal and sensitive information. We endeavour to ensure that the information collected remains private and is used only for the purpose(s) which are agreed.
Personal and sensitive information is collected when we receive
- Information from people seeking employment, either during discussions or when submitting documentation such as an application, resume or covering letter
- A request to register with us
- Work performance information, including achievements, activities and actions in the workplace
- A reference, verbal or written, either from the person or a third party
- Pre-employment screening information, such as required by Child Protection legislation
- Results of any psychological, competency or medical tests
- Information about any insurance investigation, litigation, professional disciplinary matter, criminal matter, inquest or inquiry
- Information obtained to assist in managing relationships with our clients
Information collected from visitors to our website
We also collect information from our website visitors. This includes pages most frequently visited and the services they access most. We only use this data anonymously and in an accumulated manner to help us analyse what is of benefit to our visitors and thereby allow us to create a better website experience.
There are instances when we need additional, specific information from visitors, such as name and contact details. We require this information, for example, when people apply for a job, register with us or require a service shown on our website.
We could also ask for information such as the type of role the person is interested in and their work preferences. This information allows us to more accurately respond to the person’s specific needs while also providing the best possible internet experience.
Purposes for which we hold personal information
- Personal information is typically held for the following reasons:
- Recruitment & selection activities. This includes matching people with selection criteria; contacting people to discuss positions; and alerting people to upcoming roles.
- Career guidance
- Contract management for people engaged on a temporary or contract basis.
- Relationship management: to ensure we understand what is important to clients and applicants.
- Feedback: to inform people of events, articles, services and possible job opportunities.
Disclosure
We will disclose personal information for the purposes for which it is primarily held and, in some cases, we may only disclose information with the person’s consent.
We do not disclose information obtained from visits to our website to any outside parties, except when we are required by law to do so.
Security of information
Personal information may be stored in hardcopy or electronically. We have security procedures in place to protect personal information to limit the risk of misuse, loss, unauthorised access or disclosure.
We retain our records for a significant period of time. When we consider the information is no longer required, we securely destroy the data. Any unwanted hardcopy (printed) personal information is disposed of via a professional security shredding/destruction service.
We do not accept responsibility for the security of information while it is being transmitted to us over the internet.
Sensitive Information
Sensitive information is a special category of personal information under the Australian Privacy Act 1988. It is information or opinion about a person, for example, membership of a professional or trade association or membership of a trade union; criminal record; health or disability.
As outlined in the Australian Privacy Act, sensitive information, can, in most cases, only be disclosed with the person’s consent.
Keeping information up-to-date
We endeavour to keep the information we hold as accurate as possible. If your personal information changes we ask that you contact us and we will update the information. We may also contact you from time to time to verify that our information is still correct.
Management of personal information
We have a Privacy Officer to ensure that personal information is managed in accordance with our policy and the legislation.
Trak staff respect the confidentiality of privileged information and the privacy of individuals. We regard breaches of privacy as very serious and any breach will result in disciplinary action.
Access
Subject to the exceptions set out in the National Privacy Principles, people can gain access to the personal and sensitive information that we hold on them. We do not allow access if it interferes with privacy rights of others or breaches any confidentiality attaching to the information.

Requests to provide information will be undertaken within a reasonable time. We may seek payment for our costs of supplying you with this information.
